When people imagine event planning, they often picture creative themes, stage design, or impressive guest experiences. But behind every successful bespoke event is a process that is far more strategic than simply choosing a nice space.
Venue searches are one of the most critical, and complex, stages in event planning, particularly for full-service event management agencies like AE - delivering tailored experiences for their clients.
The reality is that selecting the right venue is rarely as simple as filtering options in an online Google search by location or capacity. For our clients, we deliver bespoke events, and the venue is the foundation that shapes the entire experience.

The Venue - The Starting Point for the Event Vision
For AE and agencies like ours, who provide full concept-to-delivery events — including venue finding search, a venue selection begins with one key question: What is the client trying to achieve?
Before any research begins, we typically run an initial ideation call with the client to understand their objectives, target audience, and overall scope. We always dedicate time to discuss the most suitable event location. While a client might initially suggest London, we actively consider beyond the obvious. This approach allows us to discover unique, often more unusual, spaces further afield that frequently provide an even better match for our client's needs than defaulting to a London venue.
Only once that brief is defined can the venue search properly begin.
Different event goals demand entirely different types of spaces. For example:
A VIP networking event may require a venue that feels exclusive, intimate, and luxurious.
A large corporate forum might need to accommodate 1,800 attendees, with space for staging, breakout rooms, and production infrastructure.
A brand experience may need a completely unconventional venue that sparks curiosity and conversation.
The venue isn’t just a location — it’s a strategic decision that directly supports the event’s purpose, is feasible, and delivers impact.
Why a Simple Venue Catalogue Doesn’t Work
It might seem logical to maintain a master catalogue of venues, but in reality, this can create more problems than it solves.
At AE, we deliberately avoid relying on a static list because it can lead to repetitive thinking. If planners simply pick from the same options each time, events risk becoming predictable or uninspiring.
Instead, each venue search is built from the ground up based on the client’s unique brief. This means researching new spaces, revisiting existing venues with fresh ideas, and considering unconventional options that might not typically appear in corporate event directories.
In cities like London, where many iconic venues have hosted hundreds of events, finding something that feels new and exciting requires constant exploration.
The Hidden Complexity Behind Venue Searches
A proper venue search is rarely quick. In many cases, the research and preparation stage alone takes two weeks or more.
During that time, planners must gather detailed information, including:
Dry hire (rack rate) pricing
Venue capacity and layout flexibility
Production infrastructure and lighting rigs
Catering partnership restrictions and approved supplier lists
Setup and breakdown access times
Nearby accommodation and transport links
Potential clashes with major local events
All of this information is compiled into a comprehensive venue presentation for the client. These documents can easily reach 80 pages or more, outlining options, costs, logistical considerations, and recommendations — so that the client knows every detail has been thoroughly considered.
We immediately place potential venues on hold upon first enquiry, without waiting for the client's shortlist. This proactive approach provides the client with valuable time and reassurance during their decision-making process.
To help guide clients, we apply an internal ‘duck’ 🐤 (of course) - rating system to each venue option. These are based on how well it fits the brief, delivers impact, is accessible, and avoids disruption from other events in the same locality (looking at you - @HarryStyles!).
Anything that doesn’t strongly meet the brief (a minimum three-duck rating 🐤 🐤 🐤 (!)) is filtered out before the client ever sees it.
The Logistics Clients Don’t Always See
Clients often fall in love with the aesthetics of a venue, but event professionals are trained to look beyond appearances, which is why we always accompany our clients to view a venue for their first time.
During venue tours, planners assess practical elements that could dramatically impact the event’s success or budget, such as:
Existing lighting and AV infrastructure
Acoustic challenges for live entertainment
Restrictions on external suppliers
Loading access for production equipment
Rigging capabilities for staging or set design
These factors can make the difference between a seamless event and one that becomes expensive or difficult to execute.
A venue that looks perfect on the surface may require significant additional production investment to bring the event vision to life.
When the Venue Shapes the Creative Solution
Sometimes, the venue itself becomes the creative hook for the event.
For example, when a client requested a large-scale event that didn’t feel corporate, we immediately ruled out traditional conference venues. Instead, an exciting new site (that we can’t yet talk about!) was proposed as a more immersive and memorable setting. Despite its unconventional nature, the facilities were fully equipped with suitable indoor spaces, ensuring the event could operate smoothly regardless of weather (a happy 5-duck 🐤 🐤 🐤 🐤 🐤 situation).
This kind of creative thinking is only possible when agencies truly understand the client’s brief, and approach venue searches as part of the storytelling process rather than a logistical afterthought.
Managing Risk, Budgets, and Timing
Once a venue is shortlisted, AE manages the financial and contractual aspects of the booking process.
This typically involves:
Securing a temporary hold on the potential event date(s)
Reviewing venue contracts and terms - including whether in-house teams need to be used, or there can be flexibility.
Exploring venue relationships with local accommodation providers.
Managing a calendar of deposit schedules.
Investigating technical and practical security measures (imperative for some of our high- profile and military / defence sector events).
Agreeing mutually convenient timings for access for set-up and close-down.
Considering and applying accessible access and feasibility for all guests.
Ensuring appropriate contingency planning.
Most venues require an upfront deposit of around 10% to secure the booking, and popular dates can be reserved years in advance for major clients.
At the same time, planners must monitor external factors that could impact costs or logistics, such as concerts, festivals, or major sporting events that drive up hotel prices and transport demand.
Bringing the Vision to Life
Perhaps the most important role of an event agency during venue tours is helping clients imagine what the space could become.
While venue managers often present past events or standard layouts, creative agencies go further - painting a vision of how the space could be transformed through production, staging, lighting, and design.
